SSP Enterprise Archive Service (SEAS)
Craytek upgraded a legacy departmental Document Management application for the U.S. Navy by adding Records Management, access control and network scanning features, thereby expanding it to align with their enterprise business and information technology infrastructure. The Navy agency now uses SEAS to archive all of their official records.
Customer Challenge
The customer asked Craytek to provide customized records archival capabilities that would satisfy their operational requirements and improve upon existing processes.
Our approach was to retire the antiquated technology (including java applet and optical jukebox), and provide a document capture and archive solution that leveraged their existing HP Digital Sender network and interfaced with their existing mailroom correspondence system. We met the challenge by modeling and codifying workflows for each record type with HP Digital Sending Software.
In addition, the agency wished to avoid duplication of user accounts already present in the enterprise directory, and improve user access control. This challenge was met by integrating the SEAS application with Open Text Corporation’s Livelink software and assigning record access permissions via new user groups.
How Craytek Helped
Craytek worked with agency staff to determine official records requirements, and also coordinated with agency IT staff to determine security, database and interfacing requirements. To ensure the compatibility and compliance of the web application, Craytek also researched relevant government policies & specifications, including:
- DoD 5015.2, SECNAV M-5210.1
- The Navy Standard Subject Identification Code (SSIC) Manual
- Navy Correspondence Manual SECNAVINST 5216.5
- National Archives and Records Administration (NARA) General Records Schedules
- Internal agency operations documentation
The customer has asked for a complimenting classified SEAS application.
Results Achieved
Craytek applied their life-cycle methodology and implemented a modern java web application that utilizes the agency’s existing networked document scanners to allow any agency department to easily digitize paper records, and to create, archive and disseminate official U.S. Navy electronic records. The customized solution for the U.S. Navy SSP includes the following capabilities:

- Search the archive and retrieve records
- Import Electronic Records
- Perform Disposition Actions on records
- Enter & Save Record Metadata
- Watermark stamp record IDs on PDF documents
